Export Files from the Files Library

This task requires the OC Site Manager role or a custom role with the Export files in file management permission.

You can export a ZIP file containing your document, image, and media files with your choice of file types, folders and subfolders, and language options. Once you export, the CMS will prepare the ZIP file in the background as you get on with your work, and a link to download the file will be emailed to you.

Before exporting, please note:

  • You cannot export files from the root folder. The root folder is the top-level folder and will have the same name as your site or be named Shared Files.
  • You can only export files from folders when the files within them are less than 1 GB.
  • If no files of the selected type are in the folder, the export function will not occur.
  • The ZIP file will contain all active versions of the selected files.
  • Once the export is complete, a link to download the ZIP file will be emailed to you. This link expires after 7 days.

How to Export Files

To export files from the Files Library:

  1. Go to Files and find the folder that you want to export.
  2. Right-click on the folder and select Export Files.

  3. Choose your export options.
  4. Select Export and the system will compile a ZIP to be sent to your email address. You can navigate away from this page and continue your work while you wait.The export options and export button
  5. Once the file is complete, you will receive an email where you can select the click here link, which will open your CMS admin in a new tab. This link will expire 7 days after the export file is finished.
  6. Select Download to download the ZIP file to your computer.

File Export Options

When exporting files, your options are:

  • What type of files do you want to export?: Check each file type that you want to export. You can specify which file types you allow to upload in More > Content Types > [file type]. You can export:
    • Document: Any document file type specified to upload, such as PDF, XLX, DOC, etc.
    • Image: Any image file type specified to upload, such as JPEG, PNG, etc.
    • Media: Any multimedia file type specified to upload, such as MPEG, MP4, MOV, etc.
  • Where do you want to export from?: Choose to export files from This folder only or from This folder and subfolders. If exporting files from subfolders, the folder structure is maintained in the ZIP file.
  • Language Options: Choose if you want to Export files from all languages or Export files for a specific language. All files, regardless of language, will download in the same ZIP file.
