This task can be undertaken by users with the following roles: OC Site Manager and OC System Administrator.
Every page on your site will have a Page owner and, by default, this will be the user that created the page. If a user changes roles or leaves the organization, you may want to remove them as Page owner for any pages they created. This way, when those page's review or deactivation dates arise, the scheduled notifications are more likely to be actioned.
Additionally, admins can send notifications to page owners if there is important information to be conveyed on the site. For example, you may want to remind owners of service pages to schedule updates about upcoming holiday operating hours.
Change page owners
To change ownership of a page:
- Using the Advanced Search on the Dashboard, or the Pages section of the main menu, search for the page whose ownership you need to change. An easy way to do this is using the Page owner field to search for the outgoing Page owner.
- To change ownership for a single page, hover over it in the search results and select Change Owner from the cogwheel dropdown menu. If you need to change ownership for several pages, check each page (or use the checkbox next to Item Name to select all) then select Change Owner from the Bulk Actions dropdown menu.
- Use the dropdown list to select the user that will be the new Page owner and select Change Owner to confirm.
- Please note that changing the owner of a page will not automatically notify the new Page owner. Please follow the instructions to Notify Owner to let them know they're now responsible for the page.
Using the Advanced Search on the Dashboard, you can also search for Orphan Content, which are pages whose owner has been deactivated or removed as an admin user. You'll need to assign these pages a user as the system will send any notifications out to the invalid email address of the previous Page owner.
If you're attempting to change page ownership to a specific owner, but cannot find them in the list, it may be because they do not have editing permissions in that section of the site tree.
Send notifications to page owners
To send an email notification to a page's owner:
- Using the Advanced Search on the Dashboard, or the Pages section of the main menu, search for the page whose ownership you need to change. If you looking for pages from a particular owner, use the Page owner field to search for them.
- To notify the owner of a single page, hover over it in the search results and select Notify Owner from the cogwheel dropdown menu. If you need to notify the owner for several pages, check each page (or use the checkbox next to Item Name to select all) then select Notify Owner from the Bulk Actions dropdown menu.
- An email template will appear in which you can enter your message into the text field and select Notify Owner to send it. The phrases in italics will be replaced by the recipient's name and the relevant pages in the notification.
